Most business owners do not think about their IT company until something stops working. That is understandable. When everything is running, there is nothing to notice. A reactive IT company is invisible too, right up until a server dies, ransomware hits, or someone cannot get to their files on the worst possible day.

Proactive management is not a premium add-on. It is the baseline. If your IT company is not doing it, you are not getting what you are paying for.

1. You call them. They never call you

If you are always the one who notices the outage, the slowness, or the backup that stopped, you have a break-fix shop with a monthly invoice.

A provider who is actually watching should know about a dying drive, a hot server, or a failed backup before you do. You should not be the monitoring system.

2. Nobody can tell you the last restore test

Every IT company says they back you up. Far fewer test whether those backups come back.

If they cannot tell you the last restore date and what they restored, you do not know if recovery works. That is their job to prove, not yours to discover during an emergency.

3. Patches happen “eventually”

Unpatched software is still one of the easiest ways in. Critical patches belong on a schedule measured in days, not “when we get to it” or “the next time something breaks.”

Ask when workstations and servers were last patched. If they have to go look, or the answer is a vague maintenance window with no cadence, that is a reactive shop.

4. The only report you get is the invoice

A managed provider can show you what was patched, what alerts fired, what tickets closed, and whether backups completed. You may not read it every week. The point is that someone is watching closely enough to write it down.

If the relationship is silent except for billing, they are not managing the environment. They are renting you a help desk.

5. They do not know your business

Tools are not the same as management. Do they know when you add seasonal staff? Which systems cannot go down during your busy season? What happens if the office loses internet on a Monday morning?

If every visit feels like a first visit, they are responding to your network. They are not running it.
